We operate a membership scheme at a monthly or annual charge. This enables members to book out equipment free of charge throughout their membership and the upfront membership enables us to reinvest the monies to improve the service and resources available.
The resources are bought, sourced from waste streams, recycling centres, callouts, play providers, businesses clearing out stores. Where we can we will repair and reuse items over buying new.
After consultation we found that to best fit for a flat annual fee for organisations over pay little and often or pay more the more you use it. This helps on four folds
We recognise that Individuals running one off holiday projects or thinking about setting up in business to provide play or child care cover may be interested in the equipment in the Play Pod as it reduces financial investment and risk for them yet an annual membership may be prohibitive at start up. We therefore set an individual monthly membership that they can opt in and out of. This membership can borrow fewer items. Individuals can choose Annual membership to increase their access and reduce long term costs.
Memberships will be subject to review and consultation to keep the project sustainable and attainable for our membership and future membership.
We will work with larger organisations and funders to develop a Pay It Forward Membership where we can all price in to help an individual starting out or an organisation who may not have financial resource but has good heart and social capital and delivers great things for their community.

We will acknowledge all sponsors publicly or discreetly and may offer from time to time opportunities or competitions to win or nominate an organisation to receive a free membership.
The costs that will happen inside the membership are chosen or accepted costs by the borrower, There will be no lending fees. They will be for buying sundries such as fire-lighting or fuel kits, badge making supplies, pyrography blank, staffing support, Training or workshop services, and delivery options. Other services and products may become available so this is not an exhaustive list.
The accepted costs will be if items are lost, broken, damaged. At the discretion of PlayPod Management (Sam Holt) we will come to some arrangement to rectify this situation. This may be through joint funding bids to replace items, partial or full charges, or write off the item. Repairing of items will be charged at cost of the damaged part plus an hourly rate to fix the item £35p.h.
Acceptable wear and tear of an item will not incur any fee at the discretion of Sam Holt.
We have the ability to charge reservation fees and deposit fees and have chosen not to at this time. We as a cooperative of members will decide if and when these mechanisms are used.
If there is enough time between booking and event/activity we may be able to arrange delivery and or pick up of items at a cost.
EggSeeds or Twyn community hub will currently offer this surface.
The cost will vary depending on the time and distance of delivery. It is expected that one way journey will cost between £40 and £60 within a few mile radius of the pod assuming the pickup and journey take between one and two hours to complete.
A delivery charge is only 1 way you may book additional pickups or drop offs from the Pod.
Yes when you get to the Play pod you will require a code for the gate and for the play pod door.
When you sign up as a member you will get sent this information and the steps needed to get you Play pod access code to be used from your phone through an app.
Every Access code is different and it allows tracking of who is accessing the pod.
Do not lend your access code out. simply contact us via email for a temporary access code if a new person requires access.
In the unfortunate event that access codes are abused or doors are left unlocked we will have to take measures to address this with the cooperation from individuals/organisations linked to the codes last used. There is also CCTV in operation on the site.
Use the Access App to unlock the keysafe and use the key to insert in the door handle lock and turn it to pop out the door handle. turn the door handle to open the door. Once open leave the handle out on the door and remove the key, return the key to the keysafe and close the keysafe. This stops accidental leaving key inside the POD and accidental taking the key away with you.
Common sense answer to this is No, unless you go online and book them out whilst you are there.
Please do not take things away from the pod without booking them out first as that is fastest way things go missing or panic emails get fired around thinking we have been robbed. The whole coop works on trust.
If you need extra item(s) yes of course you can check their availability whilst there, please can go online and book out the items and if there are no clashes with other bookings you can take them away on the same visit.
Each Membership has limits set on it, to explore fair usage and loan duration of items. We have tried to make sure the levels are high enough for those one of family play days and do not anticipate any issues. Lower paying memberships do have less loan capability as it is expected that they will have less need for large amounts of equipment at one time. An individual can always upgrade membership to annual membership to gain higher loan numbers.
If there is an issue with the amount of items you have reserved or out at one time contact Pod Manager (Sam Holt) and we will see if its right to increase the borrowing limits set to each membership (we are piloting the idea so we may have teething problems).
We kindly ask that you return the key immediately on realising or on contact from Management after we see who was last in the POD.
If you left site around 7pm we would expect you to return the key by 9am the following day.
If you are setting up an event we ask you contact the Manager directly and explain, we can check the bookings and see if there is any reason to rectify the situation urgently or if we can simply get the key back when easier to do so.
If another user is expected at the POD we may inform them of the situation and discuss a 3 way solution to the problem.
The best technique is to use the keysafe through the bluetooth app to unlock it to get the key to unlock the pod, leave the handle out and twist the key to remove it and put it back into the keysafe and close the keysafe. The key is not needed to lock the POD as you turn the handle and push the door making sure the top and bottom have engaged then straighten the handle and push it in. Check the door is not loose and when satisfied the pod is locked leave the site.
